Whether you're a tenant, landlord or letting agent: a thorough inventory takes time. Documenting room by room, keeping the photos and turning it all into a readable report. KeySwap does the heavy lifting — you take the photos, the AI writes with you, and your report is ready while you're still on site.
Strong evidence · Photos included · From £9
Our AI analyses each photo and automatically generates a description for every item. You review, both parties sign digitally, and the signed PDF lands in your inbox straight away.
Our checklist is based on how deposit schemes assess evidence and on best practice across the lettings industry.
From the entrance hall to the loft: 16 preset room types with the right items for each. Adapt it to your property.
Add several photos per room. They're embedded straight into the PDF report — strong evidence in a deposit dispute.
Gas, water and electricity readings. An overview of the keys handed over and the smoke and carbon monoxide alarms present.
Both parties confirm they've read and agreed. The report records each party's name, the date and their confirmation.

What KeySwap users have to say about it.
"Finally a tool I can use myself. In a few minutes I had a complete report ready for my flat in London. An inventory clerk would have cost me far more."
"We use KeySwap for all our properties. The structured room-by-room overview is easily as good as a professional inventory."
"As a tenant I wanted to be sure everything was documented before I moved in. With photos for each room, no one can claim afterwards that I caused damage that was already there."
Everything about inventories and check-in reports in the UK — short and clear.
An inventory (check-in report) is not a statutory legal requirement, but it is strongly recommended — it is the key evidence if there is a dispute over your deposit at the end of the tenancy. The deposit itself must be protected in a government-approved scheme (DPS, MyDeposits or TDS) within 30 days under the Housing Act 2004. More on whether it's required →
Doing it yourself is free. A professional inventory clerk typically charges around £90–£140 for a furnished check-in and £60–£85 for a check-out (indicative). Under the Tenant Fees Act 2019 these costs cannot be passed on to the tenant in England. With KeySwap you create it yourself from £9 per report. See all the costs →
Yes. There is no requirement to use a professional. An inventory that is detailed, dated, photographed and signed by both parties is strong evidence in a deposit dispute. KeySwap structures the report room by room, but is not an inventory clerk or letting agent. See an example →
The check-in report records the condition and contents of the property at the start of the tenancy. The check-out report compares the condition at the end so that any damage beyond fair wear and tear can be identified and fair deductions made from the deposit. More on check-out and deposits →
Without a check-in inventory it is much harder for a landlord to prove the condition of the property at the start, so deposit deductions are difficult to justify and disputes usually go in the tenant's favour through the scheme's free dispute resolution. Learn more →
You download or print the report as a professional PDF, with photos for each room, meter readings, keys and the signatures of both parties.
